SUB10 Training and Recovery is not a quiet business. There is a gym floor, a pilates studio with reformer beds, group fitness classes running most of the day, and a recovery room with a sauna and an ice bath. The front desk is staffed 47 hours a week: nine to six Monday to Thursday, nine to four on Friday, eight to midday on Saturday.

That is a well-staffed desk by small-business standards. It is also a desk where the person on it is usually standing in front of a member, signing someone up, or walking a new joiner through the app. The phone does not wait for a gap.

What the numbers actually said

In the first eight weeks their agent answered 198 calls from 73 different members. The obvious assumption is that an AI agent at a gym is there for the small hours. It is not what happened. The busiest hours were one in the afternoon, ten in the morning and four in the afternoon, all of them squarely inside staffed hours.

The pattern is overflow, not after-hours. Roughly seven in ten calls arrived while someone was on the desk and simply could not get to the phone.

The after-hours tail is still real and still worth having: 58 calls, or 29 percent, landed when the desk was unstaffed, including 12 over the weekend and a steady trickle up to eleven at night. Those are the calls that used to be a voicemail nobody returned until Monday.

The agent does the transaction, not a message

This is the part that matters for a gym. A message saying "Dean rang about a reformer class" is close to worthless, because by the time anyone rings Dean back the class is full. SUB10's agent finishes the job on the call.

It fielded an enquiry from a member 20 weeks pregnant asking about pilates, correctly declined to give medical advice, and arranged for a human to call her back to talk it through. It recognised a caller speaking French and offered to continue in English.

Where it hands over

An honest case study says where the edges are. When the agent cannot verify a caller's membership from their phone number, it does not guess: it takes the details and emails the SUB10 team. Tours are booked by a person, not the agent. When a member could not sign up through the app and got a "contact facilitator" error, the agent collected her name and email and escalated it rather than pretending to fix it.

That is the design working as intended. The agent closes out the routine transactions, which is most of them, and hands the rest to a human with the context already gathered.

What it replaced

Before the agent, a call arriving while the desk was busy went to voicemail, and a call arriving at nine at night went nowhere at all. Eight weeks in, 198 of those calls were answered, and the ones that mattered were finished rather than logged.

For a gym the maths is unusually clean. A single retained membership at the open-term rate is worth well over a thousand dollars a year. The agent costs less than that in a year and answers everything.
