All of it out of GymMaster, none of it from a timetable somebody pasted into a document in February.

It answers, properly

On the first ring, in a genuine New Zealand voice, using your club name and your greeting. No hold music, no menu. Five people can ring at once and all five get answered, which matters at ten past five.

It knows the member

The number is matched against your GymMaster roster before the agent speaks, so a member of six years is greeted by name instead of being asked who is calling. The roster is kept warm in the background, so the match never costs the caller a pause.

It reads the real timetable

Which classes are on, when, and how many spaces are genuinely free, straight out of GymMaster. It is told to state only what the system returns, so it cannot promise a spot in a class that filled an hour ago.

It books them in

It confirms the class, the weekday and the date out loud first, for example Wednesday the 26th at 6:15, then books it and confirms again. Dates are worked out by GymMaster rather than by the agent, which is where phone bookings usually come unstuck.

It cancels and it moves

It reads the member their upcoming bookings, confirms which one they mean, and cancels it, so the space goes back on the timetable instead of sitting on a no-show. A move is a cancel and a rebook in the same call.

The recovery room, the sauna, the plunge, a reformer. The agent reads back a few open times for what they asked for and books the one they choose, on the same members-only rule as classes.

Reading the timetable is open to anyone who rings. Everything that changes a booking is not, and the way that is enforced matters more than the fact that it is.

It knows who is ringing

Your member roster is matched by number before the agent opens its mouth, so a member is greeted by name and never has to spell their surname to the phone.

The live timetable

Classes, times and the spaces actually free, read out of GymMaster on the call. Anyone may ask, member or not, which is what turns a timetable question into a joining enquiry.

It books the class

Confirmed out loud first, with the weekday and the date the system returned, then booked. It never invents a class name, a time or a free space.

It cancels, so the seat returns

The cancellation your member would have put off until the morning happens at nine at night instead, and the space goes back on the timetable for somebody who will use it.

Rooms and machines

The recovery room, sauna, plunge and reformers are booked separately from classes in GymMaster, and the agent handles them separately too: open times read back, then the chosen one booked.

Nobody books as somebody else

The member is taken from the line the call came in on, never from what the caller says. There is no membership number to read out and no way to talk the agent into one, so an unrecognised caller cannot move or cancel another member's booking.

And where it hands over to your team.

Classes and bookings are its work. Money and memberships are yours, and it is built that way on purpose.

Joining goes to a person

No card details on the phone, ever. A prospect gets a proper answer about the club, the classes, the hours and what it is like, then their name and number land with your team as a text and an email while they are still keen, which is a warmer lead than a form fill at midnight.

Money stays with your team

Payments, arrears, a hold or a freeze. Those are conversations a member should have with a human who can actually fix them, so the agent takes the detail and passes it on rather than half-answering it.

A move is a cancel and a rebook

Shifting Thursday to Wednesday is done the way your desk does it: cancel the one, book the other, read both back so the member knows exactly where they stand, and the Thursday space goes straight back on the timetable for somebody else.

Do I have to change the gym's phone number?
No. Talkify works by call forwarding from the number your members already have. You choose when it picks up: always, only when the desk is already on a call, only when nobody answers within a few rings, or only outside staffed hours. It takes a few minutes to set up with your phone provider and you can turn it off just as fast. Nothing is ported and no hardware goes in the club.
How does it connect to GymMaster?
Two things, both of which you already have. In GymMaster go to Settings, then API, and copy the API Key for integration. Then give us your club portal address, the yourgym.gymmasteronline.com one you sign in at, because GymMaster is hosted per club rather than at one shared address. Paste both into Talkify and you are connected. The key is stored encrypted, there is no developer work and nothing to install.
How does it know who is ringing?
It matches the number against your member roster before it says a word, so a member is greeted by name rather than being asked who is calling. The roster is kept warm in the background so the match never delays the greeting, and a slow or unavailable GymMaster can never hold up a call: the agent simply answers as it would for a stranger.
Who is allowed to book or cancel?
Only a member we have already recognised from the number they are ringing on. This one is deliberate and it is worth understanding: the agent takes the member identity from the phone line, never from what the caller says, so nobody can book, move or cancel as someone else by reading out a membership number. If a caller cannot be matched, the agent will not book, and it will not go looking for a way around it either. It tells them it cannot do it on this call and takes their details for your team.
What can it tell people about the timetable?
Anyone can ask what classes are on, when they run and whether there is space, member or not, and the answer comes live out of GymMaster rather than out of a timetable somebody pasted into a document in February. It reads the times and the spaces free back naturally, and it is told to state only what the system returns, so it cannot invent a class, a time or a free spot.
Does it get the day right?
This is the thing that goes wrong with phone bookings, so it is handled carefully. When a caller says "next Wednesday" the agent does not work the date out itself, it passes their words through and GymMaster answers with the real session. Then it reads the weekday and the date back out loud, for example Tuesday the 30th, before it books, and again once the booking is confirmed.
Can it cancel a booking, or move one?
Yes. It reads the member their upcoming bookings, confirms out loud which one they mean, then cancels it, so the space goes back on the timetable rather than sitting on a no-show. Moving a booking is a cancel and a rebook, done in the same call, which is exactly what your front desk does by hand.
What about the reformer, the sauna and the recovery room?
Those are handled too, and separately from classes, because GymMaster treats them separately. The agent asks what the member wants, reads back a few open times for that room or machine, and books the one they choose. Same rule as classes: recognised members only, and it confirms the time out loud before it books.
Can it sell a membership or take a payment?
That one goes to a person, deliberately. The agent never handles card details on the phone. What it does with a new-member enquiry is what a good front desk person does when the gym is busy: answers their questions about the club, the classes and the hours, gets their name and number, and hands it straight to your team as a text and an email so somebody rings them back while they are still interested.
Can it answer account questions, like arrears or a freeze?
Classes, bookings and the timetable are its work. Anything about the account or money is passed to your team with the detail already gathered, because those are conversations a member should have with somebody who can actually action them. You have that message within seconds of the call ending.
Can we watch it before it starts booking?
Yes, and plenty of clubs do. Connecting GymMaster gives you the member match and the test buttons straight away, and the booking tools switch on when you say so. Some clubs run it for a fortnight answering questions and reading the timetable first, then let it start booking once they have heard how it handles people.
GymMaster is a New Zealand company. Are you?
Yes, and it is a fair thing to ask. GymMaster was built in Christchurch and so was Talkify, which is why this integration exists at all: it is the system New Zealand clubs actually run. Your call audio, transcripts and call details are stored in New Zealand data centres and encrypted at rest with AES-256, in line with the Privacy Act.
Does it only answer after hours?
The opposite, mostly. A club's phone goes hardest at the hours the desk is least able to pick it up: the six in the morning rush, the changeover between classes, and half past five when the floor is full and one person is on the desk. It covers both, the overflow when your team is with a member in front of them and the calls that used to hit voicemail at ten at night.
What does it cost?
Talkify business agents are $129/month at the founding rate for your first 3 months, then $199, including 250 minutes of calls, with extra minutes from 10c each. There is no setup fee, no per-call charge and no lock-in, so a busy January costs the same as a quiet June. That sits alongside whatever you already pay for GymMaster; we do not touch your GymMaster subscription.
