It answers, properly

On the first ring, in a genuine New Zealand voice, with your business name and your greeting. No hold music and no menu. Five people can ring at once and all five get answered, which is the bit an answerphone has never managed.

It has the conversation

Not a name and number scraped off a beep. It asks what they want, where they are, when they need it, and anything else you have told it to ask, then reads the important parts back so the detail on the card is right.

It checks the board first

Before writing anything, Talkify searches your board for an open card already carrying that number, trying the number as dialled, the bare digits and the last eight, because a card might hold it in any of those forms.

No match means a fresh card at the top of your chosen list, titled with the caller and their number, with the phone and the email on the first lines and your labels applied.

A match means the call is added to that card as a comment instead, with its own summary and transcript, so the second and third conversations read down one card rather than scattering across three.

The card is on the board and the call is in your pocket. Talkify texts and emails the whole thing within seconds of the caller hanging up, so whoever is on the tools finds out at the same moment the board does.

A lead card is only useful if the next person can act on it without ringing the caller back to ask what they wanted. This is everything that is written.

A title you can ring

The caller's name with their number after it, so the card is actionable from the board view without opening it. No name given means the number stands on its own, which is still a card somebody can do something with.

The summary, in plain words

What they rang about, what they asked for and what they were told, written as a short account rather than a set of form fields. It is the paragraph you would have written yourself if you had picked up.

The transcript in full

Every line of the conversation underneath the summary, so the detail that did not make the summary is still on the card. Nobody has to take our word for what was said.

When, which way, how long

Whether the call came in or went out, the day and time it happened and how long it ran. A two minute enquiry and a twenty second wrong number look different on the board, which is exactly what you want.

Your labels, your list

One board, one list, and whichever labels you chose applied to every new card. Both are picked from dropdowns Talkify reads out of your own account, so there is never an id to copy or paste.

Chat and outbound too

A conversation on your website chat widget, and a completed call from an outbound campaign, both land as cards on the same list. One intake column for every way somebody reaches you.

A key and a token

Both come from trello.com/apps: generate the API key, click the Token link beside it, approve access for your own account, and paste the pair into Talkify. Both halves are stored encrypted, and you can revoke the token from Trello whenever you like.

Talkify reads your own boards, lists and labels straight back to you, so choosing where leads land is three dropdowns rather than three ids copied out of a URL. Change the list later without touching the credentials.

Do I have to change the business phone number?
No. Talkify works by call forwarding from the number your customers already have. You choose when it picks up: always, only when your line is already busy, only when nobody answers within a few rings, or only outside your hours. It takes a few minutes to set up with your phone provider and you can turn it off just as fast. Nothing is ported and no hardware goes in the office.
How does it connect to Trello?
With an API key and a token, both from trello.com/apps. Open the API and Power-Ups admin, generate a key, then click the Token link next to it and approve access for your own account. Paste the pair into Talkify and save. The board and the list are not something you type: once the credentials are in, Talkify reads your boards back and you pick the board, the list new leads should land on, and any labels you want every card to carry, from dropdowns. Both halves are stored encrypted.
What is actually on the card?
The title is the caller and their number, for example "Priya Naidu (021 447 2210)". If they never gave a name it is the number on its own, so the card is still something you can ring back. The description opens with the phone and the email, then the write-up: whether the call came in or went out and when, how long it ran, the summary, and the full transcript underneath it. The card goes to the top of the list rather than the bottom, and carries whichever labels you picked in the settings.
What happens when the same person rings again?
They do not get a second card. Before creating anything, Talkify searches your board for an open card carrying that number, trying the number as dialled, then the bare digits, then the last eight of them, because a card might hold it in any of those forms. If it finds one, the second call is added to that card as a comment with its own summary and transcript, so the whole history of a lead reads down one card. Archived cards are ignored, so a lead you closed months ago starts a fresh card rather than reopening an old story.
Does the whole team find out straight away?
Twice over. The card appears at the top of your intake list, which fires Trello's own notifications to whoever is watching that board, and Talkify separately texts and emails the call to the people you nominate. So the person at a desk sees it on the board and the person on the tools gets it on their phone, within seconds of the caller hanging up, without either of them having to check anything.
Can cards be labelled so we can tell them apart?
Yes. Talkify reads the labels off your board and you choose which ones every new lead card should carry, so phone enquiries are visually separated from the cards your team makes by hand. Because they come off your own board rather than out of a list we invented, they use your colours and your wording, and changing them later is a dropdown rather than a support ticket.
When does the card appear?
Within seconds of the call ending, in the normal case. If your agent is set up to take a name and number mid-call, the card is created at that moment instead, while the caller is still talking, and the summary and the transcript are added to it as a comment once the call finishes. Either way you are looking at the lead before you would have finished listening to a voicemail about it.
Does website chat land on the board too?
Yes, and so do outbound campaign calls. A conversation on your website chat widget creates a card the same way a phone call does, and a completed call from an outbound campaign lands as a card with its own summary and transcript. It is one intake list for every way somebody reaches you, which is the point of running it on a board in the first place.
Which list should we point it at?
Whichever one your team actually looks at first thing. Most people make a list called New leads or Enquiries and put it at the left of the board, so a card arriving at ten at night is the first thing anybody sees in the morning. You can change the list whenever you like without touching the credentials.
Can we test it before we go live?
Yes. There is a Send test card button in the integration settings: it creates a real card on the list you have chosen so you can see exactly what your team will see, then removes it again, so a smoke test never leaves anything behind on your board.
What if the token is wrong, or Trello is having a bad morning?
The call is unaffected, always. Talkify never lets a third party hold up a conversation, so a Trello that is slow or refusing to talk means a card that did not get written, not a caller sitting in silence, and the failure is recorded on our webhook trail for support to look at. Credentials get particular care because Trello is unhelpful about them: it answers a bad token and a bad key with the same complaint, so Talkify probes the key on its own to work out which half is wrong and tells you which one to re-copy.
What does it cost?
Talkify business agents are $129/month at the founding rate for your first 3 months, then $199, including 250 minutes of calls, with extra minutes from 10c each. Connecting Trello costs nothing on top: there is no setup fee, no per-card charge and no lock-in. It sits alongside whatever you pay Trello, and a free Trello plan is enough for this.
