It looks them up first

Before the agent opens its mouth, the number goes to Pipedrive. The match is on the significant trailing digits rather than an exact string, so a number saved as "+64 21 123 4567" is still found when they ring in as 0211234567.

It answers by name

A customer of three years is greeted like one, in a genuine New Zealand voice. A stranger gets the same warm greeting without the name, and neither of them waits: the lookup runs inside a strict budget and the greeting never pauses for it.

It has the conversation

What they want, where the job is, when they need it, whatever else you have told it to ask. It reads the important parts back so the detail that reaches your CRM is the detail they actually gave.

Known callers resolve to the record you already hold. New ones become a person in Pipedrive with their number and their name on them, so the enquiry is in the CRM before anybody has decided what to do about it.

It knows them before it speaks

Your Pipedrive people are searched by number before the greeting, so a customer is welcomed by name rather than asked to spell their surname at a phone. First impressions on a sales line are worth more than most things you could spend the money on.

However the number was saved

Numbers get typed a dozen ways across a CRM's lifetime, so the match works on the significant trailing digits instead of the exact string. Country code, spaces, brackets or none of it, the same person is found.

Blanks only. An empty name or email gets filled, a populated one is left exactly as it is, and phone numbers are not rewritten at all, because Pipedrive replaces the whole set rather than adding to it.

Do I have to change the business phone number?
No. Talkify works by call forwarding from the number your customers already have. You choose when it picks up: always, only when your line is already busy, only when nobody answers within a few rings, or only outside your hours. It takes a few minutes to set up with your phone provider and you can turn it off just as fast. Nothing is ported and nothing is installed.
How does it connect to Pipedrive?
With your personal API token. In Pipedrive click your profile picture, then Personal preferences, then API, and copy the token you find there. Paste it into Talkify and you are connected. There is no app to install, no developer work and nothing to configure at the Pipedrive end. The token is stored encrypted, and because it carries the permissions of the account that made it, use an account that can see the people you want the agent to recognise.
How does it know who is ringing?
The number is matched against your Pipedrive people before the agent says a word, so a customer of three years is greeted by name instead of being asked who is calling. The match is deliberately forgiving, because a number gets saved a dozen different ways: it searches on the significant trailing digits rather than an exact string, so "+64 21 123 4567" and "0211234567" find the same person. The first match is cached into Talkify's own phonebook, so the next call from that number resolves instantly without going near your CRM.
What gets written back after the call?
The whole call, against the right person. Talkify finds them or creates them, then writes the call on as a note or as a completed call activity, carrying whether it came in or went out, when it happened, how long it ran, the summary in plain words and the full transcript underneath. Whoever opens that person next sees exactly what was said, not a note saying somebody rang.
A note, or an activity?
Your choice, and it is a real one. A note is the simplest and always shows on the person's timeline. A completed call activity does that too but also counts in Pipedrive's activity reporting, which suits a team that tracks call volume or sets activity targets. Pick it once in the integration settings and change it whenever you like.
Does it open a deal?
It can, and for a genuine new enquiry that is usually what you want: the person created, the deal sitting in the pipeline and the stage you nominate, and the call attached so the first thing anybody reads is what the caller actually asked for. Businesses that would rather qualify by hand leave it off and get the person and the call, which is still the whole enquiry, just without an opinion about where it belongs.
What about callers who are not in Pipedrive yet?
They become people, with the call attached, which is on by default. That is the setting that quietly grows a pipeline: every new enquiry that rings the office ends up in the CRM whether or not anybody remembered to add them. If you would rather keep the database clean and only log calls from people you already hold, turn it off in the settings.
Will it overwrite anything I already have?
No. Enrichment is blanks only. A name or an email address is written when that field is empty and left completely alone when it is not, so a carefully maintained record is never trampled by whatever a caller mumbled at nine at night. Numbers get particular care: Pipedrive replaces a person's whole set of phone numbers rather than adding to it, so we do not touch a set that already has something in it.
Does it work for outbound calls and website chat too?
Yes, all three land the same way. A completed call from an outbound campaign, a conversation on your website chat widget and an inbound call all resolve to the person and get written on with their own summary and transcript, so the timeline in Pipedrive reads as one story regardless of which way the conversation started.
We run Pipedrive alongside other systems.
That is normal and it is handled. Talkify also connects to HubSpot, GoHighLevel, Xero, Trello and Calendly, and having more than one enabled is fine: the caller lookup asks each of them and takes the first real match, and the call is written into every one you have switched on. Nothing is exclusive.
What if Pipedrive is slow, or the token is wrong?
The call carries on either way. The caller lookup runs inside a strict pre-call budget and never holds up a greeting, so a slow Pipedrive means the agent answers the way it would for a stranger rather than a caller listening to silence. If a write fails it is recorded on our webhook trail for support, and you still have the whole call as a text and an email within seconds of it ending.
Where does my call data live?
Audio, transcripts and call details are stored in New Zealand data centres and encrypted at rest with AES-256, in line with the Privacy Act. Those recordings hold your customers' personal information, which makes you responsible for them, so it is a fair question to put to any supplier and get the answer in writing.
What does it cost?
Talkify business agents are $129/month at the founding rate for your first 3 months, then $199, including 250 minutes of calls, with extra minutes from 10c each. Connecting Pipedrive costs nothing on top: no setup fee, no per-contact charge, no per-call charge and no lock-in. We do not touch your Pipedrive subscription.
Does it only answer after hours?
Most of what a business loses goes missing during the working day, when the person who would pick up is already on the other line, driving, or in front of a customer. The agent takes all of them at once, so the overflow at half past ten in the morning is covered as well as the enquiry that arrives at nine at night.
