What is an AI receptionist for Halaxy?
A phone agent that answers your practice number while you are with a patient, and books into your Halaxy diary. It asks Halaxy which times are available for the appointment type the caller needs, offers two or three, and makes the booking in Halaxy before the call ends. For a practitioner working alone it is the receptionist you never hired: it answers every call, including the ones that come in on the hour while you are finishing a session.
How does Talkify connect to Halaxy?
Through the Halaxy API, which Halaxy sells as an add-on subscription. Once it is on your account, open your Halaxy developer page, create an API key, and copy the Client ID and Client Secret into Talkify. There is no partner application to wait on and no developer work. You then choose which appointment types and locations the agent may book, and you can delete the key in Halaxy at any time.
Which times will the agent offer?
Only the ones Halaxy returns when it is asked, and Halaxy works those out from your online booking preferences for each location: your buffer time, your lead time and how far ahead people may book. So the rules you already set for online bookings apply on the phone as well. If you never want a same-day booking made by phone, the lead time you set in Halaxy is what stops it.
Can it book telehealth and phone sessions as well as in person?
Halaxy records whether an appointment is in the clinic, by telehealth or by phone. If you offer more than one, the agent asks the caller which they would like and books that kind, from the appointment types you have allowed.
Does it read clinical notes, referrals or Medicare details?
No. The agent uses your appointment types, locations, available times and a returning patient's first name. It never reads a clinical note, a referral, a health fund or Medicare record, or an invoice, and it is never told what someone is coming to see you about. Questions about referrals, plans or rebates are written down for you to answer yourself.
What happens if a caller is distressed?
The agent does not counsel, assess or advise anyone. It stays calm and kind, and if somebody is in danger it tells them to hang up and ring the emergency number for your country, 111 in New Zealand and 000 in Australia. Anything urgent becomes a message sent to you straight away. Those rules are part of every agent we build and cannot be edited out.
Do I have to change my practice phone number?
No. Forward the number your patients already use to Talkify through your existing phone company. You can have it answer only while you are busy or in session, only when you do not pick up, only after hours, or always. Nothing is ported and it switches off just as easily.
