What is an AI receptionist for WorkflowMax?
A phone agent that answers your practice line in a natural voice and records what it hears in WorkflowMax by BlueRock. A new enquiry becomes a lead on the right client, with the brief in the caller's own words and the owner you choose. An existing client ringing about a project gets a note on that job. Talkify is built in Christchurch for practices and project businesses in New Zealand and Australia.
How does Talkify connect to WorkflowMax by BlueRock?
Through WorkflowMax's own sign-in. You press Connect in Talkify, log in to WorkflowMax and approve the connection. We never see your password, there is nothing to install, and you can withdraw access at any time. It uses the current WorkflowMax by BlueRock API, not the retired Xero-era one.
What happens when a new client rings?
The agent takes the brief properly: who they are, what the project is, where it is, the timeframe and how they heard about you. Because WorkflowMax attaches every lead to a client, it creates the client and contact first, then a lead with that brief in its details, dated today and assigned to the owner and lead category you pick. Your team sees it in WorkflowMax's leads the next time they look, and gets a text straight away.
Can it tell a client where their job is at?
Yes, for the question it can answer honestly. Once the agent has found the client by name, it can see their jobs in WorkflowMax and their current status, so "has the consent drawing gone in?" can be answered with what WorkflowMax shows. Anything that needs judgement goes to the job as a note for the person running it, rather than a guess on the phone.
Does it recognise callers from their phone number?
Not from the number alone, and we would rather say so. WorkflowMax's API lets a client be found by name but not searched by phone number, so the agent asks who is calling and which company they are with, then finds them in WorkflowMax. It is the same question a good receptionist asks, and it means the right client gets the note.
What goes on the job when a client calls about it?
A note on that job with who rang, when, what they asked or told you, and anything they need back, with the full transcript available in Talkify. The project lead reads it in WorkflowMax alongside everything else on the job, instead of hunting for a phone message.
Do I have to change our phone number?
No. Talkify works by call forwarding from the number your clients already use, so nothing is ported and nothing is installed. You choose when it answers: every call, only when reception is busy, only when nobody picks up within a few rings, or only after hours. It takes a few minutes with your phone provider and just as long to switch off.
