Acuity can find a client's bookings by their phone number, so someone ringing about "my Thursday" is found without spelling their surname twice.

Moves and cancels, within your rules

A client who cannot make it is moved to another free time or cancelled. Late changes your Acuity settings do not allow become a message for you instead.

Never near your notes

It reads appointment types, free times and a caller's own bookings, and nothing else. Calls stay in New Zealand and Australian data centres.

What is an AI receptionist for Acuity Scheduling?
It is a phone agent that answers your calls while you are with a client and books the caller into your Acuity calendar before they hang up. It reads your Acuity appointment types, asks Acuity which times are free for the one the caller wants, and makes the appointment with their name, phone and email. From there it is an ordinary Acuity booking: your confirmation email, your reminders and your intake form all go out the way they always do.
How does Talkify connect to Acuity?
With your Acuity API credentials. In Acuity, open Integrations, find the API section and copy your User ID and API key into Talkify. You then pick which appointment types the agent may offer on the phone, and which calendars if you have more than one practitioner. Nothing about your Acuity setup changes, and you can reset the key in Acuity whenever you want to cut the connection.
Which Acuity plan do I need?
Acuity only opens its API on its top plan, currently called Premium and previously Powerhouse. If you are on a smaller plan, the scheduling page keeps working exactly as it does now, but no outside software can read your availability or make bookings until the plan includes API access. We check this with you before anything is connected, so nobody upgrades for nothing.
Can a client move or cancel over the phone?
Yes. Acuity lets a booking be looked up by the phone number it was made with, so the agent can find the client's next appointment from the number they are ringing on, read it back, and move it to another free time or cancel it. Acuity's own rules still apply, so if you do not allow changes within 24 hours of a session, the agent tells the caller that and takes a message for you instead.
Does it ask my intake questions?
It can. If an appointment type has questions you need answered before the first session, such as what the client would like help with or how they heard about you, the agent asks them on the call and the answers go into the booking's intake form in Acuity. Anything clinical or sensitive can be left for the form Acuity emails them, if you prefer.
What about privacy for counselling and therapy clients?
Calls are handled in New Zealand and Australian data centres and nowhere else, including the recordings and transcripts, and you can turn recording off. The agent only reads what it needs from Acuity to book: your appointment types, your free times and the caller's own upcoming bookings. It never reads your session notes.
Do I have to change my phone number?
No. Talkify works by call forwarding from the number your clients already ring, usually your mobile. Most practitioners set it to answer only when they do not pick up within a few rings, so on a quiet afternoon they still take their own calls. Your number stays exactly where it is.
