Talkify / Integrations / Microsoft Bookings
For teams on Microsoft 365

The right person, free, booked in Microsoft Bookings.

Your team's calendars are already in Outlook and your services are already in Bookings. Talkify is Microsoft Bookings phone answering: it picks up, works out which service the caller needs, asks Bookings who can do it and when, and books the appointment into the right person's calendar before the call ends.

Put your name down and we will connect your Microsoft Bookings and walk you through it. No setup fee, no lock-in, and your phone number stays exactly where it is.

Appointments made in Microsoft Bookings against the right staff member, straight into their Outlook.

What the agent does in Microsoft Bookings.

Everything goes through Microsoft Graph, so your services, staff rules and customer emails stay configured in Bookings, where your office manager set them up.

Knows your services

The initial consult, the review, the follow-up. It reads each Bookings service with its length and the staff who perform it, and offers only the ones you let it.

Asks who is free

Staff availability comes from Bookings at the moment of the call, so leave, meetings in Outlook and existing appointments are all accounted for.

Books the named person

A caller who asks for someone by name is offered that person's times. One who does not mind gets the next person qualified for the service.

Bookings sends the email

The appointment goes in with the customer's name, phone and email, so Bookings sends its usual confirmation and reminders, and the staff member sees it in Outlook.

Moves and cancels

Reads the booking back first, then moves it or cancels it with a message Bookings passes on to the customer. Each ability can be switched on or off.

Approved by your admin

Connected once through Microsoft's own consent screen by your Microsoft 365 admin. No shared passwords, and it can be withdrawn from the Entra admin centre.

From an unanswered line to a meeting in Outlook.

A busy office at nine on a Tuesday. Reception has one caller on hold and two more ringing.

01

The overflow is answered

When your front desk is busy or nobody picks up, the call forwards to Talkify and is answered in your firm's name. Several can come in at once.

02

It matches a service

"About my trust accounts" becomes the trust review service, an hour long. If the caller is not sure, it asks the question your receptionist would.

03

It checks the staff

Bookings is asked who performs that service and when they are free, over the next few days, while the caller is still on the line.

04

It books the appointment

Against the right staff member, with the customer's details, in person or online as the service allows.

05

Microsoft takes over

The appointment shows in the staff member's Outlook calendar and on the Bookings page, and Bookings emails the customer, exactly as a web booking would.

06

Your team hears about it

A summary by email and text as soon as the call ends, and in a Teams channel if you want it there. Callers who did not book become enquiries to follow up.

Who books through Microsoft Bookings.

Organisations that already pay for Microsoft 365 and would rather use the booking tool that came with it than buy another.

Firms and advisers.

Accountants, lawyers, financial advisers and consultancies with several staff and one front desk. AI reception for professional services.

Clinics on Microsoft 365.

Physio, counselling and allied health practices that use Bookings for appointments rather than a practice system. AI reception for clinics.

Service teams.

Any office where a caller has to be matched to the right person and the right length of appointment. The booking agent.

Multi-staff · shared pages

Your Bookings page is good. Clients still ring.

The ones who pick up the phone are often the ones with the most to discuss.

Receptionists should not be the calendar.

Juggling five Outlook calendars on a second screen while a client waits is the part of reception nobody enjoys. Bookings already knows who does what and when they are free. Talkify simply asks it, every time, without putting anyone on hold.

No second system to keep in step.

Staff, services, hours and rules stay in Bookings. Change a service length there and the agent offers the new length on the next call. Work out what the unanswered overflow costs on the missed call calculator.

Give your front desk its mornings back.

We work through the Microsoft 365 approval with your admin, choose the services the agent may offer, and ring it ourselves until it books like your best receptionist. No setup fee and no lock-in.

The Talkify difference

Built here.
Not badged here.

Most AI answering services sold in New Zealand are overseas platforms with a local logo. Talkify runs on our own local SIP network, keeps data in New Zealand and Australian data centres, and answers in voices your callers actually recognise. That changes how every call sounds, and where every recording lives.

Ask a person Talk to us

Tell us which system you run and how your calls come in. A real person at Talkify replies, and we set the connection up with you.

What is an AI receptionist for Microsoft Bookings?
A phone agent that answers your business line and books callers into Microsoft Bookings while they are still talking to it. It knows your Bookings services and your staff, asks Bookings which of the right people are free for that service, and makes the appointment against the person the caller chooses or whoever is available. The booking then behaves exactly like one made on your Bookings page: it goes into that staff member's Outlook calendar and Bookings sends the customer its usual email.
How does Talkify connect to Microsoft Bookings?
Through Microsoft Graph, Microsoft's own API for Microsoft 365. Because checking staff availability is an organisation-wide permission in Microsoft 365, a global or privileged admin in your tenant approves Talkify once, on Microsoft's own consent screen. You then choose which Bookings page the agent works with and which services it may offer on the phone. No passwords are shared with us, and the approval can be withdrawn from the Microsoft Entra admin centre at any time.
Which Microsoft 365 plan do I need?
One that includes Microsoft Bookings. Bookings comes with a number of Microsoft 365 business and enterprise subscriptions, and Microsoft's own developer documentation names Business Premium for the API. If Bookings is already in your Microsoft 365 app launcher and you have a shared booking page set up, you are most of the way there, and we will check the rest with you before anything is connected.
Does it work with my personal booking page?
No, and it is worth knowing before you start. Microsoft only opens shared booking pages to other software, the kind set up for a team or a business with services and staff. Personal booking pages, the ones attached to a single person's Outlook for meeting requests, are not available through Microsoft's API. If that is all you use today, a shared booking page takes a few minutes to set up, or Talkify can book straight into Outlook instead.
Can the caller choose who they see?
Yes. If they ask for a particular person, the agent checks that staff member's availability for the service and offers their times. If they do not mind, it offers the next times anyone qualified for that service is free and books the one they take. Services that only certain staff perform are respected, because Bookings holds that list and the agent reads it.
Can callers move or cancel an appointment?
Yes, if you allow it. The agent reads the booking back so both of you are sure it is the right one, then moves it to another free time or cancels it in Bookings. When it cancels, Bookings sends the customer the cancellation itself, and the staff member's calendar clears straight away.
Do I have to change our phone number?
No. Talkify works by call forwarding from the number your clients already ring, so nothing is ported and your phone system stays as it is. Choose whether it answers every call, only the overflow when reception is busy, only when nobody picks up, or only after hours.

Have a look around.

No shared booking page? The agent can book straight into Outlook calendars in Microsoft 365 instead.
