What is an AI receptionist for Capsule CRM?
A phone agent that answers your business line in a natural voice and keeps Capsule up to date for you. It finds the caller among your Capsule people by their number, so a regular is greeted by name, and after the call it puts a note on their history with what they wanted and adds a task for whoever should follow up. It suits the small teams Capsule was made for, where nobody is sitting by the phone. Talkify is built in Christchurch for businesses in New Zealand and Australia.
How does Talkify connect to Capsule?
With a personal access token. In Capsule open My Preferences, then API Authentication Tokens, generate a token and paste it into Talkify. That is the whole setup. The token acts as the Capsule user who made it, so make it from a user who can see the contacts you want recognised, and delete it in Capsule whenever you want the connection gone.
How does it find the caller in Capsule when numbers are saved differently?
By matching the end of the number rather than the whole string. Capsule lets a search ask for people whose phone number ends with given digits, so a mobile saved as +64 27 555 0192 is still found when the call arrives as 027 555 0192. If two people share the number, the agent does not guess: it greets the caller warmly without a name and the note tells you which records matched.
Where does the call show up in Capsule?
On the person's history, as a note that reads like a message from a good receptionist: who rang, when, what they asked for and what they were told, with the full transcript underneath. If you would rather it sat on an opportunity or a project that the caller is part of, it can go there instead, because Capsule lets a note belong to any one of the three.
Can it add a task or an opportunity?
Yes, both. A task can be created on the person with a due date, an owner and your own task category, such as Call back, so it appears in the right person's Capsule task list. When a caller is a real new enquiry, an opportunity can be opened at the milestone you choose with the call note attached. Each is a switch you turn on or leave off.
What happens with somebody who is not in Capsule yet?
They are added as a person with their name, phone number and email, and linked to their organisation if they gave one, then the call note goes on their brand new history. If you prefer to add people yourself, switch that off and the call still reaches you by text and email in full, it just does not create anyone in Capsule.
Do I have to change my business phone number?
No. Talkify works by call forwarding from the number your customers already use, so nothing is ported and nothing is installed. Pick when it answers: every call, only when your line is busy, only when nobody picks up within a few rings, or only after hours. It takes a few minutes with your phone provider, and you can turn it off just as quickly.
